How should response expectations be set for questions that can’t wait until the next scheduled meeting? A routine finish-selection question seems different from a decision that could hold up work or lead to rework if it isn’t answered promptly, but I’m unsure how to make that distinction clear without labeling everything urgent.

What’s a practical way to agree on urgency labels and the right channel for each? And if the primary builder is unavailable, who should be the backup contact for a time-sensitive site question?

We are trying to tighten up communication during a custom build, especially for decisions that affect cost, schedule, or inspections. Right now, information is spread across emails, text messages, meeting notes, and verbal conversations. That makes it difficult to tell which items are actually approved, who owns the next step, and whether an unanswered question has quietly become a schedule problem.

I am considering a shared decision and issue log rather than relying on the inbox as the project record. For each item, I would record:

- Date opened and a short description
- Related room, drawing, allowance, or change request
- Decision or information needed
- Person responsible for responding or completing the task
- Due date
- Current status, such as open, awaiting homeowner approval, approved, scheduled, or closed
- Cost and schedule impact, if known
- Link or reference to the supporting email, meeting note, or revised drawing
- Date the item was last followed up

For example, if a window delivery is delayed, the log would show the affected openings, who is confirming the revised delivery date, when that confirmation is due, and whether framing or weatherproofing work is affected.

Usually, you know, communication between the team and subs gets pretty chaotic, especially when things start changing mid-way. But we started using a shared messaging app - nothing fancy, just something easy on everyone's phones. Made a huge difference, honestly. Less confusion, fewer mistakes, and the whole vibe onsite improved noticeably. Curious if anyone else found simple ways to clear up communication headaches on their sites?

Personally, I appreciate knowing right away if someone prefers emails over texts or hates phone calls (um, guilty here). Quick poll: when you're dealing with new people (work, friends, whatever), do you prefer they openly share their communication quirks/habits or just let things unfold naturally? Curious how everyone else feels about this.

I dunno if it's just me, but lately it feels like every tiny issue at work turns into a full-blown in-person meeting. Like yesterday, we spent 45 minutes sitting around a table to discuss something that could've easily been handled in a quick email or chat message. Drives me nuts, you know? Feels like such a waste of time and energy commuting and setting up rooms for stuff that's honestly pretty minor. Anyone else frustrated by this trend?
