I still lean on a good old spreadsheet—less bells and whistles, but at least I know exactly where everything is.

I totally get that. There’s something about seeing everything laid out in a spreadsheet that just feels more “real,” you know? I tried using apps too, but half the time I’d forget to update them or they’d categorize stuff weirdly. I ended up making my own color-coded sheet—nothing fancy, just columns for invoices, payments, and notes. It’s not glamorous but it keeps me sane when the numbers start flying around. Sometimes simple really is better, especially when it comes to money.

Totally relate to that. I’ve tried a couple of those “all-in-one” budgeting apps people rave about, but honestly, they always seem to overcomplicate things. I need to see the actual numbers, not just some pie chart that’s supposed to make me feel better about spending. Color-coding is underrated—mine’s got a whole traffic light system going on. Red for anything overdue, yellow for stuff that needs attention soon, green when it’s paid and done. It’s not pretty, but at least I don’t get blindsided by a forgotten invoice.

One thing I still struggle with is keeping track of change orders. Sometimes the contractor will mention something in passing, or there’s a last-minute adjustment, and if I don’t jot it down right away, it gets lost in the shuffle. Do you guys keep a separate tab for those, or just lump them in with the regular payments? I’ve tried both ways and still end up digging through email threads trying to remember what was agreed on.

There’s probably a fancier way to do this, but honestly, at the end of a long day, I just want a system that doesn’t fight me. Curious if anyone’s cracked the code on tracking those random extras without losing their mind—or their receipts...

Honestly, I’m right there with you on the change orders. I tried keeping them in a separate tab, but then I’d forget to update it or mix up which payment went with which change. Now I just highlight any extras in blue right in my main sheet and add a quick note about what it was for—like “extra tile in bathroom” or whatever. It’s not perfect, but at least when I look back, I can see what those random charges were. Still end up digging through texts sometimes though... receipts seem to multiply when you’re not looking.

I totally get what you mean about receipts multiplying—sometimes I swear they breed in my glovebox. Here’s what’s been working (sort of) for me:

- I snap a pic of every receipt the second I get it, then dump them all into a “house stuff” album on my phone. Not fancy, but at least I can scroll back and find things.
- For payments, I keep a running list in Google Keep with checkboxes. I mark off when something’s paid, and add a note if it’s a change order or just a regular draw.
- If I get a text about a change, I screenshot it and toss it in the same album. That way, I don’t have to dig through endless message threads.

Still, I feel like I’m missing something more efficient. Does anyone actually use those construction budget apps, or are they just more work than they’re worth? I’ve looked at a couple, but I’m worried I’ll spend more time updating the app than actually tracking the money.

- Tried Buildertrend for a while—honestly, it felt like I needed a tutorial just to log a receipt. Gave up pretty quick.
- Ended up just making a spreadsheet with color codes for each category (labor, materials, random “why is this so expensive” stuff). It’s ugly but fast.
- The phone album trick is gold though. I also tag each receipt with the room name in the notes field, which helps later.

I’m convinced that no app is truly effortless... at least not for the way my brain works.
