You nailed it—templates are just a jumping-off point, not gospel. I’ve found RSMeans pretty solid for high-end finishes, but even then, it’s just a baseline. For luxury builds, the “average” price is almost meaningless since custom materials and imported fixtures can swing costs wildly. I always factor in a healthy contingency, especially with specialty trades. Had a project where the tile installer’s quote doubled overnight because the client wanted something flown in from Italy... spreadsheets didn’t see that coming. Local supplier calls are tedious, but they’re the only way I trust my numbers.

I keep hearing about RSMeans, but I’m honestly not sure how much faith to put in it for a one-off custom build. Like, is there any way to actually predict those “surprise” costs, or is it just a matter of padding the budget and hoping for the best? I’ve tried a couple online calculators but they seem way too generic. Has anyone found a tool that actually adjusts for weird requests or specialty stuff, or is it always just guesswork once you go custom?

RSMeans is decent for ballpark figures, but honestly, it’s never nailed the weird stuff I get asked to do—think custom millwork or imported tile. I’ve found that nothing beats a detailed spreadsheet and a few trusted subs who’ll actually give you honest numbers, even if it means bugging them with “what if” scenarios. Have you tried looping in your architect or designer early on? Sometimes they’ve got a sixth sense for where the budget busters hide... Curious if you’ve run into any specialty requests that totally threw off your estimate?

That’s been my experience too. RSMeans is fine for the basics, but the minute someone wants a hand-carved walnut staircase or a tile that’s only available in Portugal, those numbers go out the window. I’ve had projects where the “allowance” for a specialty finish was doubled after a single conversation with a supplier. It’s frustrating, but spreadsheets and a network of honest trades are honestly the only way I’ve found to keep things realistic.

Looping in the design team early does help, but even then, I’ve seen clients change their minds halfway through construction—suddenly that “simple” fireplace surround turns into a custom stone piece flown in from Italy. No estimating tool can predict that kind of curveball. At this point, I always add a healthy contingency just for the inevitable surprises. If there’s a secret sauce, I haven’t found it yet... but I’m always skeptical of any tool that claims to handle the outliers.

I totally get where you’re coming from—those “custom” requests are budget nightmares. I’ve tried plugging numbers into RSMeans and a few other apps, but once someone mentions reclaimed oak or a one-off finish, it’s pretty much guesswork. I’ve started tracking past project costs in a spreadsheet just to have some kind of reference, but even then, the market shifts so fast it feels like I’m always playing catch-up. Does anyone actually stick to their original allowance for finishes? I haven’t seen it yet... Contingency is my best friend at this point.
