I get where you’re coming from—spreadsheets just give you that control, especially when you’re dealing with unpredictable costs. I’ve tried Buildertrend and CoConstruct, but honestly, they’re only as good as the data you feed them. Half the time, I’m still double-checking lumber prices or specialty items because the app’s “database” is outdated or missing local suppliers. Ever had an app totally miss a weird surcharge or a new green building code fee? That’s the stuff that drives me back to my own sheets. Curious if anyone’s found a tool that actually keeps up with all these moving targets, or is it just wishful thinking?

- Been there… Had a project last year where the software didn’t catch a local paint disposal fee. Ended up eating the cost.
- I still use spreadsheets for finishes and custom fixtures. Too many variables, and the databases just don’t keep up.
- Tried syncing with vendor APIs, but even then, specialty tile or lighting is always a manual check.
- Honestly, feels like the tech’s never quite as nimble as our own checklists.

- I’ve tried the “all-in-one” estimating platforms, but they’re always a step behind with local codes or those random utility connection fees.
- Spreadsheets are still my go-to for specialty items and anything custom. The software just doesn’t have the flexibility when you’re dealing with clients who want something unique.
- Honestly, I keep a running list of “gotcha” fees taped to my monitor. Every year, there’s a new one… keeps things interesting, I guess.

Honestly, I’ve yet to see any online tool that really nails the local stuff, especially when it comes to permitting or utility hookup fees. Those “average cost” calculators are fine for a ballpark, but as soon as you’re dealing with something like a weird sewer assessment or a one-off city inspection fee, they fall apart. I still end up with a stack of city docs and a bunch of phone calls. If there’s a magic database out there, it’s been hiding from me...
