KEEPING SUBS ON TRACK WITHOUT LOSING YOUR MIND

I get the appeal of sticky notes and calendars, but I’ve found they only work if everyone’s actually in the same space every day—which isn’t always the case on bigger custom builds. Has anyone tried integrating something like Slack or Trello with their crews? I’m skeptical, but curious if it’s worth the hassle or just another thing to ignore.

Tried the digital route on my last reno—figured if my teenagers can keep up with their schoolwork on apps, maybe subs could too. Gave Trello a shot, set up boards for each trade, deadlines, all that jazz. Honestly? Half the guys never opened it. The electrician called me to say he’d rather just get a text. The tile guy showed up two days early because he “didn’t check the app.” Ended up back to group texts and a whiteboard in the garage.

I get why folks like those tools, but unless everyone’s bought in, it’s just more stuff to manage. For me, keeping it simple (and cheap) works best—text chains, the odd phone call, and a big calendar taped to the wall. Not perfect, but at least nobody can say they didn’t see it... unless they just didn’t look.

Couldn’t agree more. I tried Asana once—spent hours setting up timelines, color-coding tasks, even uploaded site photos. Looked slick, but the plumber still called me at 7am asking if he was supposed to be there that day. Turns out, he never even opened the invite email.

Honestly, I think a lot of these apps are built for people who sit at desks all day, not folks hauling tools around. Most of my subs just want a quick text or a call. I do keep a Google Calendar for my own sanity (helps me see the big picture), but for the crew? Sharpie on a whiteboard and a group text seems to work best.

I get tempted by the tech, but every time I try to “upgrade,” it just adds another layer of confusion. Maybe one day the trades will all be on the same page, but for now, if it ain’t broke...

Totally get where you’re coming from. I’ve tried all the fancy apps too, but half my subs barely check email, let alone download something new. Sometimes I wonder if we’re just overcomplicating things—maybe simple really is better? You’re definitely not alone in this.

Can’t help but agree—sometimes it feels like all these tools just add noise. When I was building my place, I tried using a project management app to keep everyone in the loop, but half the crew just stuck to texts or calls anyway. In the end, a whiteboard in the garage worked better than any app. Maybe it’s not high-tech, but at least everyone actually saw it. Guess some folks just aren’t gonna change how they work, no matter what you throw at them.
