1. Print out a simple checklist for each sub at the start of the week—nothing fancy, just bullet points with deadlines.
2. Snap a pic of it and text or email it to them. That way, even the folks who hate apps have a copy on their phone.
3. Ask for a quick text update midweek. Doesn’t have to be formal, just “done” or “not done.”
4. Only do in-person check-ins if something’s off track or there’s a big decision to make.

It’s not perfect, but it cuts down on wasted trips and keeps everyone (mostly) accountable. I used to think more meetings would help, but honestly, less is more—especially when you’re watching the budget.

Totally get where you’re coming from. I’ve been down the rabbit hole of endless site visits and “quick” check-ins that somehow eat up half a day. Your checklist idea is solid—simple, direct, and nobody can say they didn’t know what was expected.

A couple things I’ve tried that might add another layer (without making it more complicated):

- Color-code tasks on the checklist if there are green building priorities (like waste sorting or material reuse). It’s a small thing, but it keeps sustainability front and center for subs who might otherwise forget.
- If you’re working with folks who are visual learners, a quick photo of what “done right” looks like can save a lot of back-and-forth. I’ve texted pics of proper insulation install or air sealing details—sometimes a picture really is worth a thousand words.
- For bigger projects, I’ll sometimes do a 5-minute group call at the start of the week. Not everyone loves it, but it gets everyone on the same page and lets me reinforce any eco-friendly requirements without sounding like a broken record.

I do think there’s a balance between trusting your subs and making sure stuff doesn’t slip through the cracks. The less-is-more approach works until you hit that one job where someone cuts corners... then suddenly you’re wishing you’d checked in more. But yeah, burning gas and time for no reason isn’t sustainable either.

One thing I’ve noticed: when subs see you care about efficiency (and not just micromanaging), they tend to step up their game. Maybe it’s just human nature—nobody likes being hovered over, but everyone likes clear expectations.

Curious if anyone’s found a way to keep things green *and* on schedule without turning into the “nagging boss.” That’s always the trickiest part for me.

I’ve definitely had that moment where I thought, “maybe just one more walkthrough will keep things on track,” but honestly, it usually just stressed everyone out—including me. One thing that’s helped is leaving sticky notes right on the spot where I want something done a certain way. It’s low-tech but hard to ignore. Had a painter thank me for it once because he said he never has to guess what I want. Doesn’t solve everything, but it cuts down on those “wait, what did you mean?” calls.

Sticky notes are underrated, honestly. I’ve done the same, especially for stuff like outlet heights or trim details. Sometimes I’ll sketch a quick diagram on them too. It’s way less stressful than hovering over everyone’s shoulder all day. I do wish there was a greener alternative to all those sticky notes though...

That’s been on my mind too. I’ve tried using painter’s tape with a marker, but it’s not quite as visible or easy to write on the fly. Has anyone tried those reusable whiteboard sheets or digital labels? I wonder if subs would actually pay attention to something less “in your face” than a neon sticky.
