I totally get the struggle with documentation overload. During our kitchen remodel, I tried to keep a daily log, but by week three, it was just a pile of sticky notes and half-finished texts to myself. What actually saved me was snapping quick photos whenever something looked off or when a sub finished a phase—like when the tile guy said he was “done” but grout was missing in a few spots. Having that photo with the date made the follow-up way less awkward.

I do think there’s a balance, though. Sometimes I’d get so caught up in tracking every little thing that I’d miss the bigger picture—like, is the project actually moving forward? There were days I had to just trust the process and let go of the small stuff, otherwise I’d have driven myself (and everyone else) nuts. It’s a weird dance between being thorough and not micromanaging every nail and screw... but I guess that’s just part of the ride.

Honestly, I think you nailed it with the photos. I tried spreadsheets and color-coded calendars—ended up just confusing myself more. But here’s my thing: if you don’t keep some kind of record, subs will swear they “never touched” that wall or “always planned” for the outlets to be crooked. I get wanting to trust the process, but sometimes the process is a little too creative for my taste...

Still, I agree you can’t sweat every detail. I once spent an hour debating grout color with a guy who clearly just wanted lunch. At some point, you gotta pick your battles or you’ll lose your mind (and maybe your weekends).

That’s the truth. I’ve learned the hard way that you can’t micromanage every single thing, or you’ll just end up exhausted and probably still not get what you want. I keep a running photo log on my phone—nothing fancy, just quick snaps before and after subs do their thing. It’s saved me more than once when someone swears they “never moved” a light fixture. Spreadsheets are great in theory, but in practice? Half the guys on site barely check their texts, let alone a shared doc. Sometimes you just have to trust your gut and let a few things slide, or you’ll never get to the finish line.

Honestly, I’ve found that setting up a simple checklist on paper—just taped to the wall—works better than any app or spreadsheet. Subs can literally check things off as they go. Not foolproof, but it keeps everyone on the same page, and it’s hard to ignore something staring you in the face. I still take photos too, just in case... but sometimes low-tech wins.

Totally get where you’re coming from—sometimes the simplest solutions just work. I’ve tried fancy apps, but half the time folks forget to update them or don’t even open them. A checklist taped up is hard to miss, and it’s pretty satisfying to see things get crossed off in real time. Plus, it doesn’t cost anything, which is a win in my book. I still double up with photos too, just for peace of mind. Low-tech isn’t always perfect, but it’s definitely less stressful for everyone.
