What counts as an urgent message to the builder?

How should response expectations be set for questions that can’t wait until the next scheduled meeting? A routine finish-selection question seems different from a decision that could hold up work or lead to rework if it isn’t answered promptly, but I’m unsure how to make that distinction clear without labeling everything urgent.

What’s a practical way to agree on urgency labels and the right channel for each? And if the primary builder is unavailable, who should be the backup contact for a time-sensitive site question?

The useful dividing line is what waiting would cost, not how quickly someone wants an answer. A finish choice can usually wait for the next meeting; a question that could stop scheduled work or cause rework needs an agreed same-day response window. That way, “urgent” sets a clear deadline instead of becoming a catch-all label.
