- Been there—those calculators are usually way off, especially if you’re dealing with anything outside the “builder basic” range.
- I’ve tried RSMeans and Craftsman Book, but honestly, they’re just a starting point. Never trust them for custom millwork or imported tile.
- Direct quotes from suppliers are the only numbers I actually trust, but it’s a time suck.
- Sometimes I’ll use spreadsheets to track my own historical costs—at least then I know where the numbers came from.
- Still waiting for a tool that actually factors in real-world variables... but until then, it’s a patchwork job.

Yeah, those calculators are pretty much just ballpark figures in my experience too. I’ve had them be off by thousands, especially once you start picking finishes that aren’t the “standard” stuff. Spreadsheets with my own numbers have saved me more than once—at least then I can see where I messed up or what I forgot. Direct quotes are a pain to chase down but honestly, it’s the only way I’ve managed to avoid nasty surprises. Would love a tool that actually adjusts for weird site conditions or last-minute design changes... but until then, it’s a lot of copy-pasting and double-checking. Hang in there, it’s not just you!

I get why you’d rely on direct quotes, but honestly, I think people overestimate how accurate those are too. Subs miss stuff all the time or forget to include site-specific quirks in their bids. I’ve had more headaches from “final” quotes getting revised than from just padding my spreadsheet with a healthy contingency. Nothing’s perfect, but leaning too hard on any one method seems risky—especially with how fast materials and labor can spike these days.

Totally agree—quotes are only as good as the info subs have, and they’re not always looking at the full picture. I usually cross-check with RSMeans or Construction Cost Data, but even those can lag behind real market jumps. - RSMeans is solid for ballpark figures, but yeah, it’s always a step behind when prices go haywire.
- I’ve tried ProEst and CostOS—both are decent, but you still end up massaging the numbers in Excel half the time.
- Honestly, nothing beats calling a few suppliers directly when it comes to lumber or steel. The “official” numbers just can’t keep up with the weekly swings.
- Sub quotes are a mixed bag. Sometimes they’re spot on, sometimes you wonder if they’re quoting from last year’s catalog.
- I keep a running spreadsheet of recent bids and actuals from my own projects. Not perfect, but it’s saved me from some nasty surprises.
- If anyone’s found a magic tool that updates in real time, I’d love to hear about it... but until then, it’s a lot of Ctrl+C, Ctrl+V, and a bit of crossed fingers.

At this point, I just assume there’s no “set it and forget it” solution—just constant tweaking and a healthy dose of skepticism.
