This hits home. Had a GC once come in way under everyone else—looked like a dream until halfway through demo, when “unforeseen conditions” started piling up. Ended up right where the other bids were, just with more headaches. I’ve learned to trust my gut and double-check those numbers, especially on the sitework side. Spreadsheets are my best friend for tracking when the curveballs start flying.

- I’ve had contractors dodge detailed breakdowns too—sometimes I think it’s just their way of hiding markups or shortcuts.
- RSMeans is fine for ballparks, but yeah, it never feels accurate for custom millwork or high-end tile. I’ve had better luck asking local suppliers for recent invoices (if they’ll share) or even chatting with trades directly.
- For finishes, I keep a running “mood board” doc with actual product links and prices, then plug those into my spreadsheet. It’s more legwork but way closer to reality than any online calculator I’ve tried.
- Honestly, nothing beats local intel and a good old-fashioned site visit... calculators just can’t factor in the weird stuff that always pops up.
