I hear you on the spreadsheet front—it’s not flashy, but it works. When we built our place, I kept a binder with printed invoices and notes. Sounds ancient, but when the app glitched, that paper trail saved me more than once. Sometimes low-tech just wins.

- That said, I still get nervous about losing stuff in a flood or fire.

I’ve had to dig out paper receipts more times than I care to admit, but after a small water leak in the office, I started scanning everything too. It’s not overkill—just a bit of peace of mind. A simple cloud backup doesn’t hurt either.

I know everyone swears by scanning and cloud backups, but honestly, I’m not totally sold on going all-digital. Maybe it’s just me, but I actually feel less organized when everything’s floating around in the cloud. I’ve tried a few apps and folders, but when I need to check a payment or dig up an invoice, I end up scrolling through a bunch of files with weird names—then I’m back to square one, searching for the original paper anyway.

What’s worked better for me is a big, old-school accordion folder. Each tab is a month, and everything—receipts, invoices, even scribbled notes—gets shoved in there. Not glamorous, but at least I know where to look. I do take photos of the really important stuff (like anything signed), but for the rest, it’s easier for my brain to flip through actual pages.

I get why people like having everything backed up online, especially after hearing horror stories about water damage or fires. But there’s something about holding the physical documents that makes me feel more in control. Maybe it’s paranoia, or maybe it’s just being new to this whole custom build thing and wanting to see every dollar with my own eyes.

Anyway, not saying digital is bad—it’s probably smarter in the long run—but if you’re like me and get overwhelmed by too many apps or folders, don’t feel pressured to go 100% paperless. Sometimes low-tech just feels more real.
